Handling Applicant Data:

1. Data Collected for the Ambassador Program Application:
   • Gather essential details: Discord handle, email, qualifications, certifications, social media profiles, and relevant experience.
   • Ambassadors conducting assessments access applicant data excluding email addresses.
   • Only authorized Autonomys employees handle applicant and ambassador data.
   • Ambassadors conducting interviews receive access to assigned applicants' email addresses.
   • Store approved ambassadors’ email addresses in Notion and Google Sheets.
     • Apply access controls to restrict data visibility (i.e only to Ecosystem team members)
   • After recruitment concludes, transfer unapproved applicants' data to a private Coda space.
     • Apply access controls to regulate access to the Coda space (i.e only to Ecosystem team members)
   • Display approved ambassadors’ Discord handles and start dates on the Ambassador Notion site.
2. Data Collected as Part of the Ambassador Agreement:
   • Collect identification details.
   • Obtain ambassadors’ consent to publicly associate their name and work with the program if necessary.
   • Refer to the Ambassador Agreement for additional data privacy details.
3. Data Storage Locations:
   • Store approved ambassadors’ data in Notion and Google Sheets, ensuring confidentiality.
     • Implement controls limiting who can access or modify the data.
   • Migrate unapproved applicants' data to a private Coda space.
     • Restrict access through specific controls.
4. Access to the Data:
   • Only authorized Autonomys team members, such as those on the Ecosystem team, and ambassadors conducting interviews (limited to the interview stage), have access to the complete set of applicant data.
   • Team members’ access levels depend on their role, ensuring they only handle necessary data.
5. Data Subset Restrictions:
   • Sensitive information, such as contact details and other personal data, remains accessible only to a limited group of Autonomys personnel.
   • Public-facing details (e.g., social media handles, start dates) may be shared for ambassadors, but private information (e.g., emails, identification details) stays protected.

This process ensures data transparency, security, and compliance with privacy regulations while efficiently managing both applicant and ambassador information.
